If you’ve ever been interested in the company incorporation process in Malaysia, you may have heard the term “MyCoID” being used. At this point you may or may not know exactly what the purpose of the MyCoID SSM System is, not to worry, detailing all that MyCoID entails.

In simple terms, MyCoID SSM System is an online platform created and managed by the SSM in Malaysia, as a means of providing a method for an online company and business registrations. As of 2019, MyCoID’s server is online 24/7 and can be accessed at any given time. Moreover, all payments required can be paid on the MyCoID website.

The companies commission Malaysia, commonly known as the SSM (Suruhanjaya Syarikat Malaysia), is the legislative body that governs and regulates all proceedings that involve business and company registration in Malaysia.

It is to be noted, however, that while the server itself is online 24/7, getting notice of or approval of document submissions will be subject to the following conditions:

• Documents submitted between the times of 12 am and 12 pm will only receive notifications and/or approval by 5 p.m. on the same day, if it is not a working day, they will receive notification and/or approval by 5 p.m. on the next occurring working day.
• Documents submitted between the times of 12 pm to 11:59 pm will only receive notifications and/or approval by 5 p.m. on the next occurring working day.

A User Guide for MyCoID Website

Once you enter the MyCoID website, you will be asked to create an account in order to continue with the services. There are two types of accounts that you can register on the MyCoID website, with each of them having different uses and available permissions:

Individual Account:

• Conduct company name search
• Obtain and submit the application to reserve name
• Obtain and also submit an application to extend the period of reservation for name
• Obtain & Submit the application for company incorporation

Professional Account:

• Conduct company name search
• Obtain and submit the application to reserve name
• Obtain and submit an application to extend the period of reservation for name
• Obtain and Submit the application for company incorporation
• Appointment of Professional Company Secretary
• Submission of Lodgment Of Constitution
• The Return of Allotment of Shares
• Access to Register of Members (ROM)

MyCoID Sign up Process 

On the Suruhanjaya Syarikat Malaysia (SSM) website, you can find a section called MyCoID under the quick links. If you press on it you will be taken to the MyCoID website where you must signup for the account. Steps of registering on MyCoID are provided below: 

1. Press the button on the top right-side corner that says Login / Sign Up 
2. Unless you have a userid and password, press on Sign up on the bottom of the page to sign up for MyCoID account. 
3. You will be greeted with the user registration page. On this page you must fill in all the necessary information. The star marked are the boxes that you cannot keep empty. You must enter a valid email address 
4. If you have selected for a professional user type, then a new section must be completed under Professional Qualification. 
5. Upon clicking submit on the bottom of the form you must verify your email address. Go to your email client and click on the link sent you by the MyCoID system. 
6. After you have verified your email, there will be a following email stating ‘Verification at Counter’ 
7. Once you get that email you must physically go to the nearest SSM counter to validate your registration 
8. After the validation of registration, you will receive another email with a link to login to your account 
9. Pressing that link will take you to a page where you must create a password for your account, choose a suitable password to successfully create your MyCoID account 

Checking the Registration Status 

After the verification from the SSM counter, you can check the status of your registration on the MyCoID portal. This can be done online instead of physically going to the SSM counter again. The things you must do to check the status of your registration are: 

1. On the login page there is an option called ‘Check Existing Registration’ on the bottom right corner of the login boxes 
2. You will be greeted with the user registration search screen where you must put in the details you have inserted while registering on MyCoID portal earlier. 
3. Upon providing the information you will see a message pop up below showing the state of your registration. 
4. This message will determine the status of your registration on MyCoID portal 

Using the MyCoID Online Portal 

After you have successfully registered and verified your account, you can now log in by providing the username and password you have set for your account. Login is straightforward. Providing the username and password will provide you with a captcha for verification of any bots.

Solving the captcha will show you your profile page on MyCoID. On this page, you can edit any of your credentials like email, password, user type, etc. However, this will require adding more information to your account. 

Perform a Name Search on MyCoID Online Portal 

When you log in to your MyCoID account you will be greeted by the Customer Portal Homepage. On this page, you will see some options to perform certain tasks. To perform a name search you must: 

1. Select the option called ‘New Name Reservation Application’ 
2. Upon clicking you will be redirected to the name search page 
3. On the name search page put the name you want to search in the ‘Proposed Company Name’ box 
4. Keep in mind you must put the name only, do not follow the name by the business entity like Sdn Bhd 
5. There are three more boxes that defaults to new incorporation 
6. Under ‘Type’ you must choose the company type you want to incorporate and under the ‘Company SubType’ choose the appropriate subtype of your choosing 
7. Once you provide all the star marked information and press search, you will be greeted with a message showing the results related to your name search. 

When your name is unavailable, the reason will be provided as there are certain guidelines for company name selection in Malaysia. 

On this portal, you can even opt for changing the name of your existing company. The thing you must do is instead of selecting ‘NEW INCORPORATION’ on the ‘Purpose’ box, select ‘CHANGE OF COMPANY NAME’. For this, you must insert the existing registration number.
